Scale without hiring

How to scale a letting agency without hiring more staff

An AI worker can take a letting agency's repairs, certificate and referencing chasing, so each property manager can look after more properties.

A letting agency can take on more managed properties without another property manager, and without the service slipping, when an AI worker does the chasing, logging and reminding that every property and every tenancy brings. It works from the agency's own records, in wording the agency has approved. Most of what a property manager does for each property is that follow-up, not deciding. The manager keeps the inspections, the calls, the emergencies and every decision about money or a tenant.

What forces a letting agency's next hire?

The trigger is one number, managed properties per property manager. The work behind it comes from two directions.

The first is work that every property brings every year, whether or not anything changes. In England there is a gas safety check every twelve months, an electrical installation report at least every five years and an energy performance certificate every ten, each on its own date. Rent is reconciled every month, as client money under a protection scheme. Each landlord also needs a statement. There are inspections, and repairs whenever they arrive, each with a landlord to ask, a contractor to book and a tenant to keep informed, with 24 hours' written notice before a visit.

The second is work that every change of tenancy brings: references to start and chase, a right to rent check for every adult before the tenancy begins, a deposit to protect within 30 days with the prescribed information served, then the inventory, the check-out and the deposit return.

So the property manager's day goes not on the properties that are fine but on the handful waiting on somebody: a landlord who has not answered, a contractor who has not confirmed, a tenant who has not been in. The chasing caps the ratio more than the deciding does, and the chasing is the part to take off them.

What does the Renters' Rights Act add to a property manager's week?

The Renters' Rights Act 2025 has added to both piles. Since 1 May 2026 private tenancies in England are periodic and rent goes up once a year, by notice. Not yet started are a private rented sector database, which the government's roadmap rolls out from late 2026 and on which landlords will have to register, and a landlord ombudsman, which the roadmap expects landlords to have to join in 2028. None of it needs a property manager's judgement, though all of it needs someone's time.

Which letting jobs suit an AI worker?

An AI worker is given a defined job, approved wording and limits, and is reviewed against them. In a letting agency, give it the jobs that multiply with the portfolio.

  • Repairs. Logging each report against the property, asking what a contractor will need, checking the likely cost against the landlord's limit in the management agreement, sending the works order and chasing a visit date, then telling the tenant. The maintenance request coordination role sets out that split.

  • Certificate dates. One register of every gas, electrical and energy certificate across the portfolio, the contractor asked for a visit at the lead time you set, the tenant asked for access in writing, the new certificate checked and filed. That is the renewals and expiry tracking role.

  • Tenancy starts. Referencing applications started once the let is agreed and chased until each one completes, with the move-in file assembled for a person to approve. The tenant referencing role covers it.

  • Rent. The reminder when rent is late is the same message every month, sent at the intervals you choose; it does not need client accounts staff to write it. Payment plans and anything formal do.

The letting agents page lists the roles in full. Each one takes a kind of chasing off the property manager and does it the same way for every property, so the manager's time goes on the properties that need a decision.

What stays with a person?

The line is agreed before anything is built.

  • The right to rent check itself. In England a person verifies the documents or the Home Office result and signs it off; the agent only gathers share codes and books the check.

  • What counts as an emergency. Gas, flooding and an insecure property go straight to whoever is on call under your own procedure. The agent follows the list; it does not judge urgency.

  • Any spend above the landlord's limit, the choice between quotes, and who pays.

  • Inspections, viewings and every phone call. The agent works in writing. Where a call is the right next step, it tells the manager who to ring and what to ask.

  • The decision to let, anything to do with notice or possession, deposit disputes and complaints.

Which role should a letting agency start with?

Start with one role rather than the whole agency, choosing the work that grows fastest with the portfolio and is most repeatable, such as repairs or certificate dates. Write down the three things the agent will need from you: the landlord spending limits as they stand in your management agreements, your emergency list, and the wording and intervals for reminders. Then run one role against a measure you can count from your own system, such as days from a repair report to a contractor being instructed, or certificates past their date on the first of each month. If the number moves, add the next role.

The same pattern, for any business, is in how to scale a business without hiring more staff; what AI staff are explains how the model works in practice, and the homepage shows what it costs.

In a letting agency the worker would do the repairs, certificate and referencing chasing in your approved wording, and a property manager would sign it off. Would the next fifty properties mean another property manager on today's desk? Talk to our agent.
