Scale without hiring

How to scale a surveying practice without hiring more staff

How a surveying practice can take on more inspections without another coordinator, what an AI worker can chase in writing, and what RICS's AI standard says.

More instructions need not mean another office hire for a surveying practice if the written steps around each inspection go to an AI worker, so that one survey coordinator carries more instructions at once. Every instruction brings a quote to send while the buyer is still choosing, terms of engagement to get signed before the surveyor can go, access to agree with an agent or vendor, a fee to collect and a stream of progress questions. An AI worker can send and chase all of that in writing. The surveyor keeps the inspection, the opinion and the report, and a person keeps every phone call.

Why does a growing practice hire a coordinator next?

A surveyor's day is bounded by inspections and the write-ups that follow them. A coordinator's day is bounded by instructions. In England and Wales, where the buyer commissions the survey, each instruction lives for weeks: from the first quote request to the released report, through terms, access, the fee and the questions in between. A surveyor who finishes an inspection is finished with it; a coordinator holds every instruction until its report is out and paid for, each at a different place in the same sequence.

So a practice that adds a surveyor adds inspections it cannot yet coordinate, and then adds a coordinator.

What grows with every instruction?

  • The quote. A buyer on a comparison site sees up to five firms' prices at once, so what separates them is who follows up first. An enquiry that comes direct, from the website, an estate agent or a broker, cannot be priced until someone learns the property's age, type and size.

  • The terms of engagement. The RICS Home Survey Standard, mandatory for members and regulated firms, says the client must receive terms matched to the instruction and should return them before the inspection. Somebody sends them and chases the signature, as our terms of engagement guide describes.

  • Access. Agreed with whoever holds the keys, then confirmed to the buyer.

  • The fee. Many practices take the fee up front and others before the report is released, and one software maker's own account calls the invoicing and chasing labour intensive.

  • Progress questions. The buyer, the broker and the estate agent each ask when the report is coming, and each message reaches the surveyor who is writing it.

What does a lost inspection cost?

A quote that loses to a faster firm costs the enquiry. An inspection that falls through at a day's notice, because terms were not back or access was never confirmed, costs a surveyor's half day that is hard to refill. Those empty half days are the capacity a new surveyor was meant to add. Before hiring one, find out from each person's inbox how many inspections were lost that way last quarter.

What does the RICS standard on AI say about office work?

RICS's professional standard on the responsible use of AI in surveying practice took effect on 9 March 2026 and is mandatory for members and regulated firms. It applies to AI that has a material impact on the delivery of surveying services, and where it applies, clients must be informed in writing of when and how AI will be used. In its answers on the standard, RICS says that AI used to draft emails, book meeting rooms or manage a diary is unlikely to have a material impact, although it is not impossible, and that some back-office uses may have one, such as chatbots giving customer service or co-pilots writing emails to clients. Whether your use has that impact is for your firm to judge, using its professional judgement, as RICS asks.

What can an AI worker take on for a practice?

Two roles move the ratio most, each held by an AI worker with a defined job, a named person it answers to and measures you agree. It can answer each quote request as it arrives and ask what a surveyor needs to price it. It can arrange access by email, writing to whoever holds the keys, proposing times the surveyor can make, confirming the date to the buyer and recording it against the instruction.

The roles for terms, fee reminders and the office inbox are on our page for surveyors. These two come first because the quote decides whether there is an instruction and access decides whether the inspection happens.

What does the surveyor keep?

Which level of survey a buyer needs is a surveyor's conversation, because the Home Survey Standard makes the firm responsible for seeing that a client understands how the levels differ; an agent can only pass on the description of each level that you have approved and gather the property details. The fee and anything unusual about the property stay with a person, and so do variations to the terms, refunds, cancellations and disputed fees. The inspection, the opinion and the report are the surveyor's, and this work never touches them. Every call stays with a person: when access falls through on the day, one of your people rings the agent. The AI worker can flag, by the day you set, every inspection whose access is still unconfirmed, so the call is made while there is still time.

What should a practice measure first?

Start with the quote requests, where measuring is simple: time from enquiry to first reply, and the share of enquiries that reach a surveyor with the property details complete. When that is steady, give the agent the access exchange, and count the inspections with confirmed access two days out. The same reasoning outside surveying is in how to scale a business without hiring more staff, how such a worker is managed in our explainer on AI staff, and our starting price on the homepage.

In a surveying practice the job would be the written work around each inspection, with quotes answered, terms chased and access agreed, and the inspection, the opinion and the report would be the surveyor's alone.
