Bullhorn

An AI agent for the record-keeping in Bullhorn

Bullhorn rewards the agency that records every candidate, submission, note and interview. That recording falls to consultants at the end of the day, or does not happen. An AI agent can keep the records current, and your consultants keep the candidates and the clients.

What Bullhorn is and who runs it

Bullhorn is recruitment software for staffing and recruitment agencies. It combines an applicant tracking system with a CRM, so candidates, client contacts, jobs, submissions and placements sit in one database, from winning a client to placing a candidate.

Consultants and resourcers work in it all day. A recruitment administrator or operations manager usually looks after users and their entitlements, and a director reads the activity and pipeline reports that depend on everything being recorded.

The Bullhorn work an AI agent can take on

Applicants added as candidates

Applications that reach an inbox and not Bullhorn are checked against existing candidates. The agent updates the record or creates one, attaches the CV and adds the candidate to the job as a web response for the consultant, never as a client submission.

Notes that would otherwise go unwritten

The agent writes a Bullhorn note for each step it handles, with the right action type: confirmation sent, document received, candidate withdrew by email. Calls stay with the consultant, and so do the notes on them.

Interviews booked as appointments

Once the consultant has chosen who goes forward, the agent agrees a time with the hiring manager and the candidate by email, records it in Bullhorn as an appointment and updates the submission's status.

Placements checked before they start

For each new placement, the agent checks that the start date, rate and compliance documents are on the Bullhorn record and asks the candidate for what is missing. Anything about pay goes to a person.

How the connection is set up

Bullhorn publishes a REST API with OAuth 2.0 as its way in. The keys are not self-service: Bullhorn says its customers obtain them by raising a support ticket, so the request comes from your agency's account. Your Bullhorn administrator approves it, and the details are agreed with you before the ticket is raised.

What the API can read or change follows Bullhorn's entitlements, the same permissions your users have. The role is given a user of its own, which your administrator sets up with Bullhorn, with entitlements only for the records it works on.

Questions owners ask

Who asks Bullhorn for API access?

You do. Bullhorn says customers obtain the OAuth keys for its REST API by creating a support ticket through the Bullhorn Resource Center. Your administrator raises it, and the keys belong to your agency's Bullhorn account.

Can it see every record in our Bullhorn?

Only what its user is entitled to. Bullhorn's API applies entitlements to creating, reading, updating and deleting records, including whether a user sees its own records, its department's or the whole company's. Those are set for the role by your administrator.

Will it talk to our clients or candidates?

Only the routine messages the role is written to send, such as an interview confirmation or a request for a missing document. Selling a candidate, negotiating a rate and giving feedback stay with your consultants.

We have been offered Amplify. How is this different?

Bullhorn sells Amplify as digital workers inside Bullhorn that interview and score candidates, send submissions and update records from interactions. An Agent Resource, our AI counterpart to staff, has a role spanning Bullhorn, your inbox and placement paperwork, managed for you. Where your gap is inside Bullhorn, Amplify may be the better buy.
