An AI agent for the record-keeping in Vincere
In a Vincere agency someone still has to deal with the applicant export nobody has keyed in, the candidate entered twice and the application left at Shortlisted for a month. An AI agent can take on that upkeep, and your consultants keep the decisions.

Applicant files, candidates, companies and contacts, job applications and their stages, and the timesheets still missing.
Candidates and applications with the CV attached, draft stage updates for a consultant to approve, call notes on the company and contact, and timesheet reminders.
What Vincere is and who runs it
Vincere is recruitment software, a CRM and applicant tracking system in one, sold by The Access Group as Access Vincere Evo. A recruitment agency uses it to hold its companies, contacts, jobs, candidates and placements in one place.
Day to day it is worked by consultants and resourcers, who log candidates and move applications through their stages, and by the recruitment administrator or operations manager who keeps the records and reports in order.
Record upkeep an AI agent can do in Vincere
Applicants logged against the right job
Vincere links a candidate to a job through a job application. The agent takes each applicant file, searches for the person first, creates or updates the candidate, attaches the CV and adds the application. A possible duplicate waits for a consultant.
Stages kept true, Shortlisted to Placed
An application in Vincere moves through stages: Shortlisted, Sent, 1st interview, Offered, Placed. The agent lists those that have sat at one longer than the days you set and drafts the update each candidate is owed. A consultant approves every message.
Companies and contacts kept current
After a client call, the agent logs the note against the right company and contact from what the consultant wrote, and lists contacts with no activity since the last job. A change to a fee or terms stays with the consultant.
Timesheets chased before the cut-off
For a temp desk, the agent reminds workers and the hirer's approvers of timesheets still missing before your payroll cut-off, wherever your timesheets are kept, and lists what is still missing. Disputed hours go to the consultant or your payroll lead.
Roles that work in Vincere
Candidate pipeline and ATS upkeep
Searches Vincere for each applicant, then creates or updates the candidate and adds the job application.
CV screening and shortlisting
Sorts the applicants for a job against the criteria you approved and gives the consultant the reason for each.
Interview scheduling
Collects times from the hiring manager and the candidate, confirms the interview and moves the application to its interview stage.
Timesheet chasing
Reminds temps and approvers before the payroll cut-off and lists what is still missing.
How the connection is set up
Vincere publishes an API to its companies, contacts, jobs, candidates and job applications, reached through OAuth 2.0. Vincere's documentation says the API key and client ID are requested from an admin user of your Vincere account and created by Vincere. The route is agreed with you before that request is made.
A Vincere user logs in to authorise the connection, and the software then works on that user's behalf. Vincere's documentation says that authorisation stays valid for ten years unless Vincere revokes it sooner. The agent is given only the access its role needs.
Questions owners ask
Will the agent need a consultant's Vincere password?
No password, but it does need a Vincere user. Vincere's published route is OAuth 2.0: a Vincere user logs in to authorise the connection, and the software then works with a token on that user's behalf. Which user that is, and what they can see, is agreed with you first.
Is this the AI that Access sells with Vincere?
No, and it does not replace it. Access describes automation agents, a Copilot, candidate scoring and AI-powered matching inside Access Vincere Evo. This agent does a role you define around the system, such as getting an applicant file from outside onto the right record. Where you use Access's scoring, the role is written around it.
Who decides when an application moves stage?
Your consultants. The agent can record a stage that follows from a fact, such as an interview being confirmed. A stage that records a decision about a candidate, such as rejected or offered, waits for the consultant who owns the job.
Who in our agency has to approve the connection?
An admin user of your Vincere account, since Vincere's documentation says the credentials are requested through them. We agree with that person first which records the role reads and writes.
