Outsourcing admin vs AI staff, onshore or offshore
A whole function that needs trained people suits an outsourced or offshore team. One process that follows rules suits AI staff. Outsourcing hands a piece of your work to another company's people, and offshoring does the same with a team abroad.
Choose an outsourced or offshore team when
You want a whole function taken away, such as payroll or a staffed phone line, with qualified people answerable for it.
The work needs human judgement on every case and enough volume to keep a team busy.
You need people on the phone to your customers through the day.
Choose AI staff when
The work is one repeatable process that follows rules, not a whole function that needs a team.
You are tired of handing the work over again each time the provider's people change.
The volume is too small or too uneven to justify a provider's minimum commitment.
A provider's team or AI staff
Five questions asked of both. The points on contracts and on sending personal data abroad come from the Information Commission's Office guidance, read on 3 October 2026.
Who does the work
The provider's people
A team employed by another company, in the UK or abroad, working to the service you have agreed with them.
An AI worker
One role, doing repeatable work that follows rules, with a named person in your business approving what matters.
Which systems it uses
Often their own
Often in the provider's own systems and offices, with your records passed to them or their staff given access to yours.
The ones you use
The agent works through the systems you already use, with the access its role needs and no more.
Your data
A written contract
UK GDPR requires a written contract with any processor, the ICO says. A provider outside the UK brings the transfer rules as well.
A written contract too
We handle your data for you as well, so the same written contract is needed with us. Every action the agent takes is logged.
What it can do
A whole function
People can handle the calls, the exceptions and the judgement, across everything the service covers.
One defined role
One process that follows rules: chasing, data entry, checks and routine updates. A new kind of work is a new role.
Who manages it
Their managers, your oversight
The provider manages its staff. You manage the provider's service levels, the reviews and the handovers when their people change.
We do
We run the agent and review its work with you each month. A change of staff does not mean a new handover.

Where an outsourced or offshore team wins
A good outsourced provider gives you trained people and a manager without the recruiting. If you want a whole function off your hands, such as payroll, a staffed phone line or a bookkeeping service with qualified people answerable for the result, that is what outsourcing is for, and AI staff are no substitute for it. A team can take the awkward call, weigh up the case that fits no rule and cover for each other.
Offshoring adds hours and scale, often at a lower cost per hour than staff at home. A team in another time zone can work while your office is closed, and where the work needs a person on every case that can be the most sensible way to get it done.
Where AI staff win
Outsourcing moves the work, and usually the records, to another company's people. The Information Commission's Office says you need a written contract whenever a processor handles personal data for you, and that sending it to an organisation outside the UK brings the rules on restricted transfers, which can mean a transfer risk assessment. None of that rules out outsourcing, and the same contract is needed with us. An Agent Resource, an AI worker managed as you would manage staff, takes on one written role, not a whole function.
It also suits a rule-following process too small or uneven for a provider's team, such as data entry and CRM upkeep. On client records, read AI workers and client data, and what a role costs is on the homepage.
Questions owners ask
Is offshoring admin allowed under UK data protection law?
Yes, with conditions. The ICO says the transfer rules apply when you send personal data to a separate organisation outside the UK. Some countries are covered by adequacy regulations. For others you generally need a safeguard and a transfer risk assessment. This is a summary, not legal advice.
Do we need a contract with an outsourced provider?
Where they handle personal data for you, yes. The ICO says a written contract is required every time a controller uses a processor, covering points such as acting only on your instructions, confidentiality, security and sub-processors. The same contract is needed with us.
Our admin is outsourced now. Could AI take some of it?
Part of it, perhaps. The repeatable steps, such as keying, checking and chasing, can be written as a role. The calls, the exceptions and the professional judgement stay with people, whether yours or the provider's. We agree with you in writing which is which before anything is built.
Which is quicker to start?
It depends on the work. A provider with a team in place can start once the contract and handover are done. AI staff are scoped with you first, then built and tested, which takes weeks. Neither is instant, and both need your time at the start.
An Agent Resource compared with
A virtual assistant
Varied, personal admin suits a VA paid by the hour; the same process run every day suits an Agent Resource.
An Agent Resource compared with
Hiring an administrator
Hire for the front desk, the conversations and the judgement calls, and leave the keying and chasing to an Agent Resource.

A temp
Book a temp for next week's gap or a job that needs a person. Hand never-ending admin to an Agent Resource.
