Scale without hiring

How to scale a veterinary practice without hiring more staff

How a vet practice can take on more consults without another receptionist, by giving an AI worker the claims, histories, reminders and CMA paperwork.

Behind every consult at a veterinary practice sits work that lands on reception, and handing the written part of it to an AI worker can let the practice take on more consults without another receptionist. Each consult can bring a claim pack to assemble, a history to request or send, a reminder to follow up and a bill to chase, and from 2027 the CMA's Order adds a written estimate for costlier treatment, an itemised bill and the offer of a written prescription. Nearly all of it is written work. Whether an animal needs seeing, and how soon, never leaves your vets.

What makes a vet practice hire its next receptionist?

In most independent practices the limit is how many consults a receptionist can keep up with once the consult is over. A practice feels it when claims wait a fortnight for the vet's section, when a client rings to ask why the insurer has not paid, and when booster reminders go unanswered and the vaccination lapses. All of it lands on a desk that is already the phone, the till and the waiting room.

The staffing ratios you can find online come mostly from American practice consultants, and the figure that matters is your own: how long a claim waits before it goes to the insurer, how many reminders go unanswered, how many bills are more than a month old.

What grows with every consult?

  • Insurance claims. Under RCVS guidance only the policyholder has the right to claim, so each claim is a three-way job: the client's part, the practice's itemised invoice and clinical history, and the vet's own section, which the vet completes and signs, never in blank. Reception assembles it, in the steps our guide to processing pet insurance claim forms sets out.

  • Histories. Every new client, referral and second opinion means a clinical history requested from one practice or sent to another, by email, between calls.

  • Boosters and plans. The system sends the reminder. What grows is the list of clients who did not book and of plan members whose direct debit failed.

  • The CMA's paperwork. The Order made in September 2026 gives a business with fewer than 15 first opinion practices until March 2027 to put the consultation fee and a price list link in every booking confirmation, and until September 2027 to give a written estimate where treatment is likely to cost £500 or more, to itemise every bill, and to offer a written prescription when medicine is prescribed, unless it is needed urgently. Each is a document to send and a record that it was sent.

  • Unpaid bills. The bill the insurer part-paid, and the client who left without settling after an emergency, both waiting for the practice manager.

Which jobs behind the desk can be handed over?

Each role an AI worker takes on is one of the jobs above, written down as a specification your practice approves, with a named person checking the work and a review each month. The agent can assemble each insurance claim pack, itemised invoice, clinical history and policy number, chase the owner's part, and put the form in front of the vet ready to complete and sign. It can follow up the booster reminders nobody answered with dates to pick, book by your rules from the reply and list the plan members whose payment failed. It can send the estimate, itemised bill or prescription your vet has written and signed, and log that each went. It works in writing, so calls stay with your receptionists. Each role is described on our page for veterinary practices.

Where is the clinical line?

The agent gives no advice about an animal's health and never judges urgency. RCVS guidance puts that decision with the veterinary surgeon, and expects support staff to recognise when a client needs to speak to a vet and not to suggest a clinical opinion. The agent is held to that line: any message describing a symptom, a worry or an injury goes straight to your team with what the client said, and the client is given your published out-of-hours details. What goes in an estimate or on a prescription is the vet's. A disputed account, a client asking for time to pay and any bill for an animal that has died come off the reminder list and go to your practice manager.

How do the CMA's 2027 dates decide what to hand over first?

The CMA's dates give a practice a timetable whether it wants one or not: booking confirmations by March 2027, then estimates, itemised bills and prescription offers by September 2027. Work back from them to decide what the desk must stop doing by hand before each one.

Begin with the queue as your practice management system shows it: open claims and their age, reminders sent against bookings made, failed direct debits, bills over 30 days. Hand over the one that costs most, which for many practices is claims, because a slow claim costs the client's goodwill and the practice its cash. Before anything is built the rules are written down with you: what a complete claim pack contains, what the agent may send in your name, which replies go to a vet. Then judge the role each month on your own figures, and plan the 2027 documents in before their dates arrive.

The wider argument is in how to scale a business without hiring more staff, how an AI worker is supervised and reviewed is in our page on what AI staff are, and our starting price is on the homepage.

In a veterinary practice the worker would be scoped to work the claims, histories and reminders under your team's eye, and what goes in an estimate or on a prescription would be the vet's. Is reception too busy with claims and reminders to face the room? Talk to our agent.
