Your referencing provider, your lettings software and your lettings mailbox. For example, Goodlord alongside Reapit or Alto.

The tenant referencing process runs from the day a let is agreed to the day the keys are handed over. A referencing provider checks each applicant's and guarantor's credit, employment and previous landlord. The agency starts each application, chases whoever it is waiting on and completes the move-in file, and its people make the right to rent check and, with the landlord, the decision to let. What an agency controls is how soon the application starts, how quickly a stalled one is spotted, and whether the file is complete before move-in. It runs well when one person, or one worker, owns every application from start to finish. This guide follows the job as it runs in England.

How long does tenant referencing take?

Goodlord, a referencing provider, says a referencing company should be able to complete the process in two to five working days; two days is its ideal, and it says most agents and tenants wait longer than that. Most of the days are lost waiting on people: the same provider lists applicants slow to send documents, late replies from employers and previous landlords, and incomplete paperwork as the usual causes of delay. Those are the delays an agency can shorten, by starting on the day and chasing the named person.

What starts the clock

The job starts when a let is agreed and a holding deposit is taken. In England that deposit is capped at one week's rent, and the standard time an agent can hold it is 15 calendar days from receipt, unless a different period is agreed with the applicant in writing, which gives referencing a deadline from its first day.

Referencing step by step, and who does each today

  1. Start the application. A lettings administrator or the negotiator enters each applicant and guarantor with the referencing provider. Do it on the day the let is agreed, for every adult. Since 1 May 2026 a landlord or agent in England must not take steps intended to make a person less likely to take a tenancy because they have children or receive benefits. The government's guidance adds that the same income requirement should be set for every prospective tenant and all forms of income treated equally. Income can still be weighed in deciding whether the rent is affordable.

  2. The provider's checks. The provider runs the credit check and writes to the employer and the previous landlord.

  3. Watch and chase. Somebody at the agency checks each application's status, works out who it is waiting on, and reminds them.

  4. Right to rent. In England every occupier aged 18 or over is checked before the tenancy starts, whether or not they are named on the agreement. GOV.UK sets out the routes: original documents checked with the applicant present, the Home Office online record viewed with the applicant's share code, or a registered digital verification service for a British or Irish citizen's documents. An applicant with neither the right documents nor a valid share code goes to the Home Office through the landlord's checking service. A copy and the date of the check are kept for the length of the tenancy and a year after.

  5. The decision. The lettings manager reads the completed references and decides, with the landlord, whether to let, and whether to ask for a guarantor. Rent in advance is no longer a way round a weak reference, because in England it can be asked for only once the agreement is signed, and usually no more than a month's where rent is paid monthly.

  6. The move-in file. It holds the signed agreement, the references, the right to rent record, and proof the tenant has been given the gas safety record and the electrical report, both of which a new tenant must have before moving in. The deposit goes into an approved scheme within 30 days of receipt.

Three changes you can make tomorrow

  • Track people, not tenancies. A tenancy with two applicants and a guarantor is three applications and perhaps five referees. Give each its own line with a status and the date it last moved. "Flat 2 referencing in progress" hides the one employer holding everything up.

  • Chase the named blocker. A reminder that says "your reference is incomplete" gets ignored. One that says "we are waiting for your March payslip" gets answered.

  • Count the days from the holding deposit. Put the day number on every open application. Anything that has not moved by the day you choose goes to a person.

Which steps an AI worker can take on

In this job it can take steps one, three and most of six: starting each application on the day, chasing the named blocker in your approved wording, telling the negotiator each morning who every open application is waiting on, and listing what the move-in file still lacks. For right to rent it can do the asking and the booking; the check is your team's. How the role is specified and measured is on the tenant referencing page.

What waits for a person, and why

  • The right to rent check itself. Your team makes it and signs it off: whoever checks must be satisfied the documents are genuine and belong to the applicant.

  • The decision to let. A failed or borderline reference, a guarantor request and the landlord's agreement are judgements about a person.

  • Keeping a holding deposit. The grounds are narrow and set by law, so a person decides.

  • Phone calls. When an employer does not answer email, somebody rings.

  • Any reply that disputes a fact or asks for an exception.

What to write down before you hand referencing over

  • Your referencing criteria in writing, the same for every applicant.

  • The reminder wording and the intervals.

  • The number of days after which a stalled application is escalated, and to whom.

  • What a complete move-in file contains.

  • Who at the agency carries out right to rent checks.

Referencing is one of several jobs that grow with every tenancy. The deposit, the certificates and the repairs that follow are on our page for letting agents, and the case for handing them over is in how to scale a letting agency without hiring more staff.

The worker would start every reference on the day the let is agreed and chase it to a finish, and your letting team would make the checks and the decisions. Talk to our agent about the applications waiting on references today.
