AI staff for engineering consultancies, so engineers can engineer
A civil, structural or building services job collects admin from the enquiry to the final invoice: a fee proposal with its schedule of services, technical queries from site, drawing issue sheets, hours and mileage booked to the job number. AI staff can log, draft and chase all of it. The engineering judgement stays with your engineers.
The paperwork every job number collects
Fee proposals
An enquiry arrives from an architect or a contractor with a set of drawings and a deadline. A director works out the scope, the schedule of services, the exclusions and the fee, often on ACE terms, in the gaps between site visits. Nobody has time to follow up the proposals that go quiet.
Technical queries and drawing issues
Once a job is on site, the contractor's technical queries arrive by email and through the project's document system, such as Viewpoint For Projects. A document controller, or the engineer, logs each one, and every drawing goes out on an issue sheet with its revision and status code. The query nobody logged is answered late.
Timesheets, expenses and recharges
Engineers book hours to job numbers in Deltek Vantagepoint or CMap, and every site visit brings mileage and receipts to recharge. The office manager chases both before the month's invoices go out. A lump sum job that has eaten its fee shows in the hours, if anyone looks; a recharge nobody claimed is never billed.
CDM and quality records
In Great Britain, CDM 2015 requires a designer to make sure the client knows its duties before design work starts, and to give design information to the principal designer. A consultancy certified to ISO 9001 is audited on its records as well. Both get filed between deadlines, and the gaps show at the audit.
Roles for Engineering consultancies
Quote and proposal preparation
Assembles the fee proposal from the enquiry and the drawings sent with it: scope, schedule of services, exclusions and your rates, in your own layout. A director sets the fee and sends it.
Timesheet chasing
Reminds whoever has not booked hours to a job number by the cut-off, and shows each project engineer the hours a job has used against its fee bid. Nobody's hours are entered for them.
Enquiry and inbox triage
Sorts the shared inbox: technical queries logged against the job with the drawing and the date an answer is owed, issue sheets filed, the owning engineer reminded. The answer is theirs.
Expense and receipt chasing
Asks for the mileage and receipts after each site visit, matches them to the job number and lists what is missing at month end. A manager approves every claim before it is paid or recharged.
It drafts.
You approve.
We manage.
You donโt need a complex new platform. Your AI worker operates inside your existing tools under human supervision.
Human-in-the-loop
High-impact actions (sending emails, updating compliance records) wait for explicit human approval before execution.
A full audit trail
Every action is logged with who approved it, and we go through it with you each month.
Nothing to maintain
If a workflow breaks or a system changes, we fix it. Keeping it running is our job.
UK-hosted and kept separate
Your data is stored in the UK, and is never used to train AI models.
Questions owners ask
Can an AI agent answer a contractor's technical queries?
No. It can log each query as it arrives, attach the drawing it refers to, note the date an answer is needed and remind the engineer who owns it. The answer is a design decision. Your engineer writes it, and it goes out under their name.
Does this take CDM duties off our engineers?
No. Under CDM 2015 a designer's duties stay with the designer, and an agent cannot hold them. It can keep the paperwork around them in order and remind you when design information is owed to the principal designer.
Will it work with Deltek, CMap or a project's document system?
Deltek Vantagepoint, CMap and Xero each publish a way for other software to connect. That published way in is how the agent works in them, once you have confirmed the route and its access at the start. A document system run by the client or the contractor is theirs, and access to it needs their agreement as well as yours.
Can it chase an architect or contractor who has not paid our fee?
Yes, by email in wording you approve, at the intervals you set, and it tells a director when a reminder has gone unanswered. Whether to keep working on a job whose fees are late, or to suspend under your appointment, is a director's decision and never the agent's.
