An AI agent for the shared mailbox in Outlook

The shared mailbox is where a business's admin arrives: orders, enquiries, supplier forms, meeting requests. In Outlook a message someone has opened looks dealt with to everyone else, and the reply never goes. An AI agent can read, sort, draft and book as the mail comes in, and a person sends what matters.

What Outlook is and who runs it

Outlook is Microsoft's email, calendar and contacts application, part of Microsoft 365. A business uses it for each person's mailbox and diary, and for shared mailboxes such as accounts@ or enquiries@ that several people open at once.

A shared mailbox is usually watched by an office manager, a receptionist or the accounts team between other jobs. Diaries are kept by a personal assistant or by each person for themselves. Your IT administrator or outside IT firm decides who can open which mailbox.

What an AI agent can do in Outlook

The shared mailbox sorted

Outlook's rules move what matches a sender or a subject. The agent reads the rest, gives each message a category, such as order or supplier, and moves it to its owner's folder. One it cannot place stays in the inbox under a 'to place' category.

Replies left as drafts

Where your records and approved wording answer the question, the agent writes the reply and saves it in the mailbox's Drafts folder. Its owner reads it, changes it and sends it. A complaint is never drafted: it goes to a person.

Attachments keyed, the message marked done

An order or a supplier's form arrives as an attachment. The agent reads it, keys or files it in the system that holds that record, then sets the message's category to done and notes what it did, for the next person who opens the mailbox.

Meetings booked in the calendar

Asked for a meeting, the agent reads the free and busy times in the calendars you have opened to it, offers times by email and sends the invitation once one is accepted. Which meeting gives way when two clash is the diary owner's decision.

How the connection is set up

Microsoft publishes an Outlook mail API and a calendar API in Microsoft Graph. They cover reading and searching messages, folders, categories, drafts and sending, in a person's own mailbox and in shared mailboxes. An administrator of your Microsoft 365 approves the permissions, once the route is agreed with you.

Microsoft says the API does not reach in-place archive mailboxes, so old mail kept there is out of scope. In Exchange Online your administrator can limit an app to named mailboxes, and the agent is given only the mailboxes its role needs.

Questions owners ask

Can the agent read everyone's email?

No. Microsoft lets your administrator limit an app to the mailboxes you name in Exchange Online, provided nothing wider is granted alongside. A role normally covers one shared mailbox, and perhaps a calendar or two. Your people's own mailboxes are not part of it unless you ask.

Does it send email in our name without anyone seeing it?

Only the kinds of message you have agreed in advance, such as an acknowledgement in wording you approved. Everything else is saved as a draft in the mailbox for a named person to read and send. What it sent sits in the shared mailbox's Sent Items.

We keep old mail in an archive mailbox. Can it search that?

Not through the route Microsoft publishes. Microsoft says its API does not support in-place archive mailboxes. The agent works from the live mailbox and from the systems where the records are kept, and a person looks in the archive when one is needed.

We have Copilot in Outlook. Is that not the same?

The difference is who asks. Copilot in Outlook summarises a thread or drafts a message when the person with the mail open asks, which may suit one inbox. An Agent Resource, given a role and managed for you like a member of staff, works the shared mailbox as mail arrives, opened or not.
