Courses booked, confirmed and certificated: AI staff for training providers
Each course leaves the same trail behind it: bookings to confirm, joining instructions to send, a register to get back from the trainer, results to check, certificates to issue. AI staff can confirm the bookings, chase the register and keep the course record. Your coordinators keep the trainers, the customers and every judgement about a learner.
What your administrators do for every course you run
Bookings and joining instructions
A course administrator keys the email and purchase order bookings into accessplanit or Arlo, beside those the web form took. The joining instructions may send themselves. The replies come to a person: swap this delegate, move that one to March, where do we park? Each change touches the record, the trainer and the invoice.
Trainers, rooms and dates
A training coordinator matches every date to a trainer approved to deliver that course, a room and the kit, across open courses and days on customers' own sites. A trainer off sick, or an open course with a handful of bookings a week out, means new dates and a message to every delegate and booker.
Registers, results and certificates
Nothing can be certificated until the register and the assessment papers come back from the trainer. On an Ofqual-regulated qualification the results then go to the awarding organisation, which issues the certificate. Meanwhile the customer wants every certificate before an audit, and the administrator is chasing a trainer who is already delivering somewhere else.
Expiry dates and refreshers
HSE's guidance has a first aid at work certificate valid for three years, and other courses run to their own periods. Customers expect to be told who is due. Where expiry dates live in a spreadsheet, the reminder goes out late or not at all, and the rebooking goes to whichever provider wrote first.
Roles for Training and L&D providers
Diary and scheduling
Offers dates against trainer and room availability, confirms them to bookers and handles delegate swaps and transfers under your terms. Which trainer delivers, and whether a thin course runs, is your coordinator's decision.
Enquiry and inbox triage
Sorts the Outlook or Gmail training inbox: booking changes to course records, certificate copies answered from the record, in-house requests to a coordinator. Complaints and any appeal about a result always go to a person.
Lead response and qualification
Replies to each course enquiry as it arrives and asks what a coordinator would: which course, how many delegates, your site or ours, by when. Pricing an in-house course, and any discount, stays with you.
Chasing clients for documents
Chases what each course still owes the file, from delegates' pre-course forms to the trainer's register, assessment papers and evaluation forms. Marking, results and anything submitted to an awarding organisation are a person's.
It drafts.
You approve.
We manage.
You donโt need a complex new platform. Your AI worker operates inside your existing tools under human supervision.
Human-in-the-loop
High-impact actions (sending emails, updating compliance records) wait for explicit human approval before execution.
A full audit trail
Every action is logged with who approved it, and we go through it with you each month.
Nothing to maintain
If a workflow breaks or a system changes, we fix it. Keeping it running is our job.
UK-hosted and kept separate
Your data is stored in the UK, and is never used to train AI models.
Questions owners ask
Can an AI agent issue certificates or send results to our awarding body?
It can get them ready. The agent puts the register, the results and the delegate details together and lists what is missing. A person at your centre checks them and submits or issues. Your centre approval rests on your people's work, and the agent does not mark, assess or pass anyone.
Our system already sends joining instructions. What would an agent add?
Your training system sends what is scheduled. Administrate's own AI can plan schedules and answer questions about its data, and Arlo's can build elearning from a prompt. An agent deals with the replies: the delegate to swap, the purchase order that has not arrived, the register a trainer has not returned. It says it is an AI in each message.
Will it work with accessplanit, Arlo or Administrate?
Each publishes a way in: accessplanit an API and webhooks, with its Xero and Sage links running through Zynk; Arlo an API built for systems integration; Administrate an API with webhooks. Which of these an agent uses, and what your licence and that maker permit, is agreed with you before work starts.
What happens when a trainer is ill on the morning of a course?
A person handles it. That morning is phone calls, and those stay with your team. Your coordinator chooses between a cover trainer and a new date. Once that is decided, an AI worker can email every delegate and booker, offer the new date and update the course record.
