AI agent vs chatbot: which does a business need?
A chatbot talks to people in a chat window, on your website or in a messaging app. It answers questions, and newer ones can book an appointment during the chat. Our AI agents, managed for you, work in your systems on the admin that carries on after the conversation ends.
Choose a chatbot when
Customers ask the same questions again and again, and the answers are already written down.
You want an instant reply on your website at any hour, with a person picking up the rest.
The job, such as answering a question or booking an appointment while the customer is there, begins and ends in the conversation.
Choose AI staff when
The work is behind the scenes, in your systems, not in a conversation with a customer.
An enquiry has to become a record, a document check and a follow-up days later, with nobody in a chat.
You want a named person approving what goes out, and a log of every action.
Side by side
The same five questions asked of each. What a chatbot is, and what the newer ones can do during a chat, is IBM's description, read on 7 October 2026.
What it is for
Conversations with customers
IBM describes software that talks with people by text or voice. It says many can book an appointment or update a record too.
Doing a role
It carries out a defined piece of admin from start to finish and stops for a person at the agreed points.
Who it works with
Your customers
It sits on your website or in a messaging app and replies to whoever opens the chat.
Your team and systems
It works in the systems you already use. A named person approves anything sent in your name.
What starts it
A conversation
It works inside a conversation with a visitor; without one it has nothing to do.
The work arrives
A new email, a form, a date in the diary or a record that needs chasing sets it going.
When it cannot help
Hands to a person
IBM says a well-designed chatbot should recognise its limits and give the customer a clear path to a person.
Hands to a person
It passes anything outside its role to a named person, with what it found and why it stopped.
Who manages it
You or the vendor
Someone keeps the answers up to date and reads the conversations it could not finish, in your business or at the supplier.
We do
We keep it working when a system changes, and its work is reviewed with you each month.
Weighing up a hire against an Agent Resource?

Where a chatbot wins
If your customers ask the same questions all day, such as opening hours, prices, delivery times or how to book, a chatbot is the right tool and an AI agent is more than you need. IBM describes uses of this kind: answering questions about products and the things customers ask most often. The customer gets an answer at once and your team is left with the harder conversations.
Many can also act during the chat: IBM gives scheduling an appointment and updating a record as examples. It separates rule-based chatbots, which follow scripts, from AI chatbots, which interpret what a person means. If the job begins and ends in the conversation, buy the chatbot.
Where AI staff win
A conversation is often where the work starts. The documents have to be requested and checked, the person chased when they go quiet three days later, and the file made ready for someone to approve. An Agent Resource, our AI equivalent of staff, does that part, started by the work arriving rather than by a chat, and carries the job over days through your systems.
A business can sensibly have a chatbot for questions and bookings, a workflow tool for steps that never vary, and a managed agent for the admin that follows. Answering routine client questions by email from your records is the first-line client support role. See what an AI employee is; the price is on the homepage.
Questions owners ask
We have a chatbot on the website. Is an AI agent any different?
IBM says a chatbot guides a conversation; an AI agent can carry out multi-step work. Our agents each do one job in your systems, such as checking documents and chasing replies. They may write to people as part of the role, but conversation is not their purpose.
Can we keep the chatbot and add an AI agent behind it?
Yes, and it is a sensible pairing. The chatbot answers the common questions at once. The agent takes the enquiries that need work done, such as a document check, a chase or a quote prepared for approval. How the two hand over is agreed with you when the role is scoped.
Will an AI agent talk to our customers?
Only as the role agreed with you allows. It can draft and send routine messages, such as a reminder or a request for a document, in wording you have approved. Anything that commits the business, such as a price or a refund, waits for a named person.
Where does ordinary automation fit in?
Automation follows fixed rules for steps that never vary, such as moving a file or sending a reminder. It breaks or needs a person when a case does not fit. A chatbot handles conversation. An AI agent takes on a piece of admin, cases that vary included, and hands over to a person where agreed.
An Agent Resource compared with
ChatGPT, Claude or Copilot
ChatGPT, Claude and Copilot are assistants each person runs. An Agent Resource takes one process off a desk and is run for you.
An Agent Resource compared with
Zapier, Make or Power Automate
Steps that never vary belong in a workflow you build; work that needs reading and chasing belongs with an Agent Resource.
