AI staff for dental practices: recalls, forms and claims

A dental reception answers the phone, checks patients in and takes payment, while the recall list, the unsigned medical history forms and last night's implant enquiries wait. AI staff can follow up patients who ignore a recall, offer cancelled appointments to patients waiting for one, chase the forms and answer the enquiries. Anything clinical goes straight to your team.

Tell us the admin task you hate most.

Give Carlos 20 minutes. Heโ€™ll tell you straight whether an AI worker can handle it and how fast it can start. No fluff.

Which dental practice admin can AI take on?

Recalls and short-notice gaps

The dentist sets each patient's recall interval, which NICE puts at between three months and two years for an adult. The practice software sends the reminder. The patients who do not answer it, and the cancellation that leaves an hour of surgery time empty, fall to a receptionist with a list and a phone.

Forms before the appointment

The GDC expects an up-to-date medical history each time a patient is treated, and a written treatment plan with a realistic cost before treatment starts. A receptionist sends the form links, chases the unsigned ones and hands a tablet over at the desk, and the dentist waits until the last form is done.

NHS claims and lab work

In England an FP17 claim goes to the NHS Business Services Authority within two months of the course of treatment ending, or its units of dental activity are disallowed. A practice manager looks for unsent claims, and someone has to confirm that each crown or denture is back from the laboratory before the fit appointment.

Private treatment enquiries

Enquiries about implants, aligners and whitening come through the website and social media, often in the evening when the practice is shut. A treatment coordinator replies between consultations, sometimes a day or two later, by which time the patient may have booked elsewhere. Estimates given and never accepted are seldom followed up.

Roles for Dental practices

Diary and scheduling

Emails named slots to patients who ignored a recall, offers short-notice gaps to those waiting for one, and gives reception a short list of who still needs a call. The dentist sets every recall interval.

Chasing patients for documents

Sends the medical history update before each visit and the dentist's written treatment plan and estimate after the consultation, then chases the signatures. It does not interpret the answers, and the dentist reviews every history.

Lead response and qualification

Replies to implant, aligner and whitening enquiries from your website and inbox, with your published prices and a consultation offer. Social media messages are listed for your treatment coordinator. Suitability is the dentist's decision.

Invoice and payment chasing

Reminds patients of balances left after treatment and instalments that are due, and records each answer on the patient's account. Disputed fees, refunds and anything about the treatment itself go to the practice manager.

New starter and HR admin

Collects what the CQC expects in England in a new starter's file: identity, employment history, references, GDC registration, and hepatitis B evidence for clinical staff. The practice manager checks each document and decides who starts.

Phone answering and triage

On a voice line set up with you as part of the role, it takes each caller's reason and books by your rules or leaves reception a note. Anything clinical goes to a person.

It drafts.
You approve.
We manage.

You donโ€™t need a complex new platform. Your AI worker operates inside your existing tools under human supervision.

Human-in-the-loop

High-impact actions (sending emails, updating compliance records) wait for explicit human approval before execution.

A full audit trail

Every action is logged with who approved it, and we go through it with you each month.

Nothing to maintain

If a workflow breaks or a system changes, we fix it. Keeping it running is our job.

UK-hosted and kept separate

Your data is stored in the UK, and is never used to train AI models.

Questions owners ask

Does it work with Dentally, EXACT or Sensei Cloud?

Dentally and Sensei Cloud publish a way in for approved partners, and Software of Excellence invites integration partners for EXACT. The agent uses that route, confirmed with your practice with its access before anything is set up. Where no way in exists, it works from the lists your system exports and a person keys anything back.

Can an AI agent tell a patient whether they need to be seen?

No. It has one written job, gives no clinical advice and never judges how urgent a problem is. A patient who mentions pain, swelling, bleeding or an injury goes straight to your team with what they said. Out of hours it repeats only the out-of-hours instructions your practice already publishes.

Is a patient's medical history form special category data?

Yes. The ICO lists data concerning health as special category data under UK GDPR, which needs a lawful basis and a separate condition for processing. Both are the practice's decisions. What an agent may see is agreed in writing during scoping, and it can know that a form has not come back without reading the answers.

Can it submit our NHS claims?

No. Your practice software transmits FP17 claims, and what goes on a claim is for your dentists and practice manager. An agent could list the courses of treatment completed but not yet claimed as the two-month limit in England approaches, and put that list in front of your practice manager each week.
