AI staff for insurance brokers, renewal by renewal
Every renewal works back from its inception date, and as it nears the file is often still waiting on a client, an insurer or a handler's afternoon. Adjustments, certificate requests and claims keep arriving. AI staff can work the renewal diary, key the adjustments and find the certificates. Your handlers advise, and approve anything that carries advice or a premium.
What keeps account handlers from their clients
Policy renewals
An account handler invites each renewal weeks ahead in Acturis, Open GI or Applied Epic: asks the client for the risk details, the holding insurer for the claims experience, seeks terms, and checks what goes out. A commercial client owes the insurer a fair presentation of the risk, so an unanswered question cannot be left.
Mid-term adjustments and certificates
A client adds a vehicle, takes on new premises or needs a copy of the employers' liability certificate. The account handler keys the change, gets the insurer's agreement, raises the invoice or credit note and sends the revised documents. A fleet change also has to reach the Motor Insurance Database. Such requests arrive all day.
Claims notification and updates
A claims handler takes the notification, passes it to the insurer, and spends weeks chasing the insurer, the loss adjuster and the client while keeping the claim record current by hand. FCA guidance has a broker with no claims authority forward the notification promptly, or tell the client at once it cannot deal with it.
Premiums and credit control
Every new policy, renewal and adjustment raises an invoice or a credit note. Someone chases unpaid premiums, checks that premium finance has been set up and reconciles the client account. Where the brokerage holds premiums as client money, the FCA's CASS 5 rules apply and every figure has to reconcile.
Roles for Insurance brokers
Renewals and expiry tracking
Works the renewal diary, sends each request for updated details in wording you approved and lays the answers beside last year's schedule. The renewal terms, the advice and the client call are the handler's.
Quote and proposal preparation
Assembles the presentation to insurers from the client's answers and the file, sets the returned terms side by side as each insurer wrote them and drafts your quote. The recommendation is your handler's.
Chasing clients for documents
Chases the statement of fact, proposal form or claims experience still outstanding and fills the factual part of the demands and needs statement. The handler writes why the cover meets them and checks every document.
Invoice and payment chasing
Drafts reminders for unpaid premiums and logs every reply against the client record. Cancelling cover for non-payment, and the conversation that goes with it, stay with your accounts team and the handler.

You donโt need a complex new platform. Your AI worker operates inside your existing tools under human supervision.
Human-in-the-loop
High-impact actions (sending emails, updating compliance records) wait for explicit human approval before execution.
A full audit trail
Every action is logged with who approved it, and we go through it with you each month.
Nothing to maintain
If a workflow breaks or a system changes, we fix it. Keeping it running is our job.

Questions owners ask
Can an AI agent give insurance advice or recommend cover?
No. Whether a policy meets a client's demands and needs, and what to recommend, are judgements for your authorised staff. It asks for renewal details, keys the adjustment, finds the certificate and fills in a document's factual part. Anything carrying advice or a premium waits for a handler's approval.
Will it work inside Acturis, Open GI or Applied Epic?
Open GI and Applied Systems each publish a route for other software, and the agent works through it, on access you agree at the outset. For Acturis, which publishes less, we start by asking your software house what it allows. Where direct access is not possible, an agent can work from reports your team exports.
Does it send renewal notices to clients on its own?
No. It sends the request for updated details in your approved wording, drafts the renewal invitation and queues it for the account handler. For consumers the FCA's rules set what the renewal notice has to show, including last year's premium, so that document is yours to check. Phone calls to clients stay with your people.
Can it notify a claim to the insurer for us?
It can take the details from the client's email, set them against the policy record and prepare the notification for your claims handler to check and send. Whether a claim is covered, any negotiation with an insurer or loss adjuster, and the call with a client who has just had a loss, stay with a person.
