An AI agent for the inbox and files in Google Workspace
Where a small team runs the business from one Gmail address and keeps its files in Google Drive, somebody's job sits between the two: the quote nobody chased, the signed form left in the inbox, the client folder with two documents missing. An AI agent can take that on, and your people check and send.

Threads in the shared address, their attachments, and each client folder in the shared drive.
Labels on threads, follow-ups as drafts, attachments filed in the right folder, and the list of gaps in a Google Sheet.
What Google Workspace is and who runs it
Google Workspace is Google's suite for business: Gmail on the company's own domain, Drive for files, Docs, Sheets and Calendar. Gmail keeps mail as threads and sorts it with labels. Google says Workspace Studio, in its business plans, lets people build their own AI agents.
In a small business the owner or an office manager watches the main inbox, info@ or hello@, and sets up the folders. The Workspace administrator controls sharing and decides which apps may reach the company's mail and files.
Inbox and file work an AI agent can take on
Every thread labelled
The agent reads each new thread in the shared address and applies your labels: the type of message, whose it is and whether it waits on you or on the customer. The whole team sees a thread's state without opening it.
Quotes and invoices nobody answered
The agent watches the threads where a quote or an invoice went out and nothing came back. On the day you choose it writes the follow-up as a draft on the same thread, so the customer sees the history. A dispute goes to a person.
Attachments filed in Drive
A signed form or a certificate arrives by email and stays in the inbox. The agent saves it to the right client or project folder in your shared drive, named to your convention, and lists anything it could not place for a person.
Missing documents chased
The agent checks each client folder in the shared drive against the list of what should be in it and keeps the gaps in a Google Sheet your team reads. It chases the client or supplier and files what arrives. A person verifies the documents.
Roles that work in Google Workspace
Enquiry and inbox triage
Labels every thread in the shared address by type and owner, and drafts what your records answer.
Lead response and qualification
Replies to each new enquiry with your questions and labels the thread for a salesperson.
Chasing clients for documents
Chases the documents a case is waiting on and files each one as it arrives.
Invoice and payment chasing
Follows up unpaid invoices on the original thread and passes a dispute to a person.
How the connection is set up
Google publishes the Gmail API for messages, threads, labels and drafts, and the Drive API for files, folders and shared drives. An app reaches them through OAuth 2.0 for named scopes. That is the route Google publishes, agreed with you first.
Google classes the scopes that read, change or draft mail, or open a whole Drive, as restricted. The role's scopes are agreed with your Workspace administrator, who can hold each app to them. The role works only in the mailbox and folders it names.
Questions owners ask
Can it work with our info@ address that several people share?
Usually, and the role is written around the address you already use. How it is set up decides the route: Google's Gmail API works with a mailbox, and a Google Groups collaborative inbox is a group, not a mailbox. So the first step is to confirm which one you have.
Will you need our Google password?
No. Google's route for other software is OAuth 2.0: access is granted to an app for stated scopes, without a user's password, and your Workspace administrator can see, limit or block it. If the business still runs on a free personal Gmail account, moving to Workspace comes first.
Gemini already drafts our replies. Do we need more than that?
Google says Gemini drafts replies, summarises threads and adds labels for the person who asks, on eligible plans, and Studio lets your team build agents. An Agent Resource, AI that takes a role as staff would, has its role specified with you, run for you and answered for across the shared inbox and drive.
Will it delete our email or move files we already have?
No. It is written to label, draft, save new documents and keep a list of what it did. Archiving handled threads can be part of a role if you want a clear inbox. Deleting mail or files, moving or reorganising what is there and changing who can see a file stay with your people.
